Cancellation Policy

At HELVETII Hikes Ltd, we carefully plan each experience and commit to accommodation, activities, logistics, and staffing in advance. Many of these costs are non-refundable. For this reason, all bookings are subject to the following cancellation policy.

Day Hikes & Single-Day Events

All day hikes and single-day events are non-refundable.

If you are unable to attend, you may transfer your place to another person, provided:

  • You notify us in advance
  • The replacement meets the event requirements

Multi-Day Events (Hikeaways, Campventures & Similar)

Due to upfront costs and commitments to accommodation and suppliers:

All bookings are non-refundable.

More than 28 days before the event:

At the discretion of HELVETII Hikes Ltd, you may request:

  • A transfer to another event (subject to availability), or
  • A transfer of your place to another participant

Less than 28 days before the event:

  • No refunds will be issued
  • Transfers are not guaranteed and may not be possible due to logistics, accommodation, or reserve lists

Transfers & Name Changes

Transfers to another participant are only permitted where:

  • HELVETII Hikes Ltd is notified in advance
  • The replacement meets all event requirements
  • The transfer does not conflict with operational or accommodation constraints

Exceptional Circumstances

We understand that unforeseen circumstances may arise.

In cases such as serious illness, injury, or emergency, please contact us as soon as possible.

Any refund, credit, or transfer in these circumstances:

  • Is at the sole discretion of HELVETII Hikes Ltd
  • May require supporting evidence
  • Will take into account any costs already incurred or committed

Event Cancellations by HELVETII

If HELVETII Hikes Ltd cancels an event, you will be offered:

  • A full refund, or
  • The option to transfer your booking to another event

No additional compensation will be payable.

Changes & External Factors

Events may be amended due to:

  • Weather conditions
  • Safety considerations
  • Supplier availability
  • Operational requirements

Where possible, suitable alternatives will be provided.

Unused Services

No refund, credit, or reduction in price will be provided where:

  • A participant chooses not to attend part of an event
  • A participant arrives late or leaves early
  • A participant is unable to participate due to fitness, equipment, or personal circumstances

Third-Party Services

Some elements of our events may be delivered by third-party providers.

Where costs have been committed to third-party providers, these are typically non-refundable and will be taken into account when considering any request for refunds, credits, or transfers.

Weather Conditions

Events operate in a range of weather conditions and will not be cancelled due to normal or expected weather.

Only severe or unsafe conditions, as determined by HELVETII Hikes Ltd, will result in cancellation.

By booking an event, you confirm that you have read, understood, and accepted this cancellation policy.
